Equipment and vehicle rental booking

Hire by the hour or the day, counted against how many you actually own rather than how many you hope are back.

Rental has one number that matters and it is surprisingly hard to know: how many units are free at a given hour. Not how many you own, and not how many are on the rack right now, but how many are unspoken for across the window somebody is asking about. Every double-booked kayak, scooter and set of clubs comes from that number being kept in a person's head.

Where the fleet goes missing

Usually in the overlap between two bookings nobody put side by side.

  • Availability is whatever is visible on the rack, which is not the same as what is unbooked for this afternoon
  • Bookings come by phone and message and are written on a board, so an overlap is found when somebody arrives
  • Deposits and ID are collected inconsistently, and returned from memory
  • Nobody can say which units earn and which sit, because utilisation is not recorded anywhere

Twelve on the rack does not mean twelve free at two o'clock. That gap is the whole problem.

Availability is a window, not a shelf

Rental availability is the one thing that cannot be answered by looking. A unit that is physically present may be spoken for in an hour, and a unit that is out may be back before the window somebody is asking about. The only correct answer comes from comparing the request against every booking that overlaps it.

That is what the calendar does here. Hire is booked as a block with turnaround built in for cleaning and checks, availability is computed across the whole requested window rather than at a moment, and the count is against how many units you own. A request for three kayaks at two o'clock is refused if three are not free for the whole of it, rather than accepted and sorted out on the beach.

What you get

Built around a fleet count and a window of time.

  • Hourly, half-day and full-day hire, with turnaround built in for cleaning, charging or checks
  • Capacity as how many units of that type you own, so availability is a real answer across the whole window
  • Rates that differ by duration, by season and by day, so a weekday morning and a Saturday are priced apart
  • Add-ons for helmets, wetsuits, insurance, delivery or a guide, priced and counted
  • Whatever you need asked at booking: height, weight, experience, licence number, delivery address
  • Counter hire on the same inventory, because most rental walks up rather than books ahead

It counts units, it does not name them

The booking says three kayaks, not kayak seven, nine and fourteen. For almost all rental that is exactly right, because one kayak is interchangeable with another and the fleet is what matters. Where it stops being right is if you track maintenance, damage or hours against individual units and want the booking to know which one went out, or if units genuinely differ within a type. There is no per-unit assignment today. The workaround for a small fleet of genuinely different items is to make each one its own bookable thing, which is clean at five and unmanageable at fifty.

Common questions

Can a customer book a specific bike or board?

No. The booking is for a number of units of a type, not a named one, because the engine counts capacity rather than allocating individual items. For most rental that is the correct model. If you track hours or damage per unit and need the booking to know which one went out, that part stays outside this today.

Can we rent by the hour and by the day?

Yes, as different durations of the same thing, with rates that differ by length, by season and by day of the week. Turnaround between hires is built in, so the unit is genuinely back and checked before the next window opens rather than being double-sold in the gap.

Can we take a security deposit online?

No, and this is the honest limitation for rental specifically. The booking is paid in full or free to book; there is no pre-authorisation on a card and no partial deposit held and released. Security deposits stay a counter process, taken in cash or on a card machine as you do now. The hire itself can be paid online, which is usually the part that matters.

What about late returns and damage?

A late return is a counter conversation rather than an automatic charge; there is no automated overtime billing today. What the system gives you is the booking, its window, and a record you can point at. Damage charges are handled at the counter, and a folio can carry them against the booking where you want the total in one place.

We have a mix of sizes and models.

Set each type that a customer would actually choose between as its own thing with its own count: small, medium and large boards rather than one pooled number. That keeps availability honest without needing per-unit assignment. Only make individual units their own bookable thing if they genuinely differ, and be aware that stays manageable at five and does not at fifty.
