Parents book differently to everyone else. They book late, they book for a group, they need to know exactly what time it ends, and they are the only customer segment where the person attending and the person paying are different people with different information. A booking system that treats a birthday party like a table reservation misses most of what actually has to happen.
How it usually runs
On a phone, mostly, and mostly by one person.
- Party bookings are arranged by call and held on trust, so a double-booked Saturday is discovered by two families at once
- Ages, allergies and who is allowed to collect the child are collected informally or not at all
- Sessions have a comfortable number that exists only as a habit, so a busy Sunday is over it
- Deposits are asked for by transfer, chased by message, and reconciled by memory

The number in the room is a staffing ratio, not a preference. Saturday is when that gets tested.
The limit is staff, not space
Most children's venues are not constrained by how many people fit. They are constrained by how many children a given number of adults can properly supervise, which is a different number, and one that changes with who is on shift.
So capacity is set per session and adjustable by rule: fewer during the week when one person is on, more on Saturdays, none at all on a day the venue is closed for a private party. The session then sells to the real number instead of to the number of chairs.
What you get
Sessions, parties and passes, with the parent asked the right things once.
- Sessions with real capacity and a turnaround between them, generated from a weekly pattern
- Party slots as their own bookable thing, with the room genuinely held for the duration
- The questions that matter asked at booking: child's age, allergies, who is collecting, emergency contact
- Add-ons for food, a party bag, an extra hour or a character visit, priced and counted so you know what to prepare
- Multi-visit books and term passes for regulars, with the scan rule decided per pass
- Walk-ins at the counter on the same system, because most of a wet Sunday arrives without booking
What we do not hold
The product stores the answers to whatever you ask at booking, which is how a child's age or an allergy note reaches the person running the session. It is not a safeguarding system: there is no signed consent form, no guardian verification, and no formal record of who collected whom. Treat what you capture as the information you would write on a clipboard today, kept somewhere more reliable, and keep your own process for anything that has to be legally defensible.
Common questions
How do party bookings work?
A party slot is its own bookable thing with its own length, its own price and the room genuinely held for the duration, so a second family cannot be promised the same Saturday. Food, party bags and extra time attach as add-ons, which also means you know what to prepare rather than finding out on the day.
Our capacity depends on how many staff are on.
Then set it as rules rather than one number. Capacity can change by day of the week, by a range of dates or by a stretch of hours, so quieter weekdays with one person on and busy Saturdays with three are two rules rather than a calendar you edit constantly. A day you are closed for a private booking is a closure.
Can we collect allergies and collection details?
Yes, as questions attached to the specific session, so a toddler class and a teen workshop do not ask each other's questions. The answers appear on the booking, on the family's record and on the day's roster, which is where the person supervising needs them. They are booking data rather than a safeguarding record, so keep your formal process as it is.
Can we take a deposit to hold a party date?
Not a partial one. A booking is either paid in full online when it is made, or free to book and settled with you. There is no option today to take twenty percent now and the rest on the day. Most venues that move to this either charge the party in full up front, which parents accept more readily than expected, or keep the slot free to book with a tiered cancellation policy behind it.
Most of our visitors arrive without booking.
Then take them at the counter on the same system. The place leaves the session count, a code is issued, and a record is created, which is how a rainy Sunday stops being invisible in your data. Online booking then becomes the thing that fills the quiet weekday sessions rather than the only way in.
